What this job involves:

We are seeking a Program Coordinator to support the implementation and promotion of employee commute programs, including parking, shuttles, rideshare, transit, carpool, bike, and walk options. In this customer-facing role, you'll serve as a Subject Matter Expert (SME) on commute modes available to employees, providing timely and friendly customer service while coordinating the distribution of transportation passes, permits, schedules, and other commute materials. You'll conduct customer-facing on-site and virtual events and presentations specialized in outreach to client employees, engaging with them through showcases both in-person and online to present benefit information and conduct Q&A sessions. This role requires excellent communication skills, strong organizational abilities, and the flexibility to manage multiple priorities in a fast-paced environment. You'll collaborate with on-site facilitators, internal stakeholders, and shuttle vendor teams to deliver high standards of employee commute experience while tracking program KPIs and identifying opportunities for process optimization. The ideal candidate brings a warm and engaging demeanor, comfort presenting to large audiences, and the ability to build meaningful connections with employees while promoting sustainable commute options.

What your day-to-day will look like:

  • Provide timely and friendly customer service to client employees seeking information about commute options, serving as a trusted resource and Subject Matter Expert (SME) on all available commute modes
  • Coordinate distribution of transportation passes, Carpool Permits, Bus schedules, and other commute materials while maintaining accurate records and ensuring materials are readily available
  • Create and maintain program documentation including policy documents, email templates, logs, and service records to support consistent program delivery and knowledge management
  • Coordinate with on-site facilitators and internal stakeholders to deliver high standards of the employee commute experience, ensuring seamless communication and coordination across teams
  • Conduct customer-facing on-site and virtual events and presentations specialized in outreach to client employees, presenting information in an engaging format that captures audience attention
  • Engage with client employees via showcase both in-person and online to present benefit information and conduct Q&A sessions, building awareness and driving program participation
  • Collaborate with on-site teams within the commute program in tabling and other events to engage with client employees and promote the program through interactive, face-to-face conversations
  • Coordinate van pool groups schedules and documents while managing logistics to ensure efficient operations and positive participant experience
  • Utilize the digital platform to manage employee parking assignments, waitlists, and permit requests, ensuring accurate data entry and timely processing of requests
  • Identify program and process optimizations and provide recommendations to improve efficiency, productivity, and performance based on operational insights
  • Track program KPIs and projects using various tools such as SmartSheet and Excel, and provide reports on commuter behavior and program performance using data collected by the digital platform
  • Ensure consistent data by auditing internal systems with records from external and internal stakeholder teams, maintaining data integrity across platforms
  • Partner with shuttle vendor teams to solve real-time shuttle challenges and ensure a cohesive experience for shuttle riders, responding quickly to operational issues
  • Respond to high-visibility escalations in a fast-paced and demanding environment while maintaining professionalism and customer focus.

Required Qualifications:

  • High School Diploma or GED and 1-3 years of customer service experience with demonstrated success in client-facing roles
  • Ability to comprehend and interpret instructions, short correspondence, and memos and ask clarifying questions to ensure understanding
  • Ability to write routine reports and correspondence and respond to common inquiries or complaints from clients, co-workers, and/or supervisor
  • Ability to effectively present information to an internal department and/or large groups of employees with comfort presenting in front of a large live audience or through virtual sessions
  • Comfortable meeting and engaging with new people with warm and engaging demeanor and ability to assess circumstances, empathize, and offer help
  • Excellent written and verbal communication skills with aptitude for face-to-face conversation in a friendly and fast-paced environment
  • Basic skills with Microsoft Office Suite products such as Word, Excel, and Outlook with ability to learn new technology platforms
  • Ability to respond to a high volume of emails while simultaneously handling other projects, adjusting priorities as needed based on incoming requests
  • Excellent organizational and time management skills with ability to work well under pressure with multiple deadlines
  • Team player willing to help others with questions and tasks while demonstrating a proactive approach to routine and non-routine occurrences
  • Ability to work flexible work schedules based on business need including early mornings, evenings, or event support as required
  • Strong problem-solving skills with highly adaptable and flexible approach to changing circumstances.

Preferred Qualifications:

  • Transportation experience or knowledge of transit systems, commute programs, or transportation demand management
  • Experience conducting presentations, tabling events, or other customer engagement activities in corporate or community settings
  • Familiarity with digital platforms for parking management, shuttle coordination, or transportation program administration
  • Experience with SmartSheet, project tracking tools, or data management platforms
  • Ability to read and interpret road maps with ability to use GPS or other directional devices and work handheld mobile technologies and applications
  • Physical ability to lift and move 30-40 boxes and operate a two-wheel dolly for event setup and material distribution
  • Basic knowledge of financial terms and principles with ability to calculate simple figures such as percentages
  • Experience assisting with onboarding of new team members including interviewing and training support
  • Understanding of initiatives or corporate commute benefit programs.

Estimated compensation for this position:

60,000.00 – 60,000.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
