Context:

Within Accenture Mauritius, the Accenture Workplace Solutions (AWS) Team covers the following topics: Work Environment, Real Estate, Safety & Prevention, Events and Secretarial Services.

The Location Services Analyst/Location Coordinator is responsible for overseeing all locations and to provide building management services. This includes asset management, engineering, building & maintenance, cleaning, mail delivery, logistics &/or storage services. Independently carry out routine tasks according to guidelines and/or under supervision.

Roles & Responsibilities

Building Management:

• Managing building and equipment maintenance schedules. This includes heating, ventilation, lighting, air-conditioning, plumbing & sanitation, power, security, fire & life safety equipment and elevators/lifts.).
• Responding to urgent maintenance calls.
• Preparing for emergencies by creating building evacuation and other action plans (under supervision of Health & Safety Team)
• Testing building security systems and promoting safety within the building (in collaboration with the Security Team)
• Managing equipment and supply needs, including furniture, telecommunications, kitchen appliances, office equipment and supplies, and climate control.
• Reporting to the Facilities Manager on a regular basis.
• Asset management.
• Documenting processes and keeping maintenance records.
• Monitoring maintenance budget spending.
• Daily floor check of the building facility.

Third party management:

• Liaising with vendors and suppliers on behalf of senior Location Coordinators and Facilities manager.
• Monthly Operational review with 3rd party suppliers & Building Managers
• Operational review regarding building issues with Landlords & Building managers
• Quarterly review with Suppliers
• Supervising cleaning crews and maintenance workers.
• To organize site visits with suppliers and to raise purchase request accordingly.
• To reconciliate purchase order listing at each month end and liaise with Finance Team for purchase order closures.

Tool & Process management:

• Participate in Budget Yearly Exercise and conduct Analytical Tasks.
• Manage requests via Accenture’s ticketing Tool within the SLA (complaints, additional requests..)
• Make use of Procurement tools for vendor’s onboarding, issuing orders approving invoices
• Manage assets in Accenture’s asset management tool.

Required Knowledge and Abilities:

• Degree in Building Management or any equivalent qualifications
• A minimum of 3 - 5 years of relevant work experience
• Experience in corporate environment would be a definite advantage.
• Good written and verbal communication skills
• Ability to manage critical path and deadlines.
• Good analytical skills, detail-oriented, knowledge of building Management & procedures.
• Should be available to work outside working business hours and during weekend if needed.
