Soft Services is a site-based operational role responsible for managing and coordinating all soft service functions within the facility. This position ensures delivery of high-quality housekeeping, landscaping, pest control, waste management, cafeteria support, reception services, and other hospitality-related operations. The role requires hands-on supervision of service teams and close coordination with vendors to maintain facility appearance, cleanliness, and occupant comfort.
Key Responsibilities
Soft Services Operations Management
Oversee daily execution of all soft services including housekeeping, cleaning, waste management, landscaping, pest control, and pantry services. Ensure consistent service delivery meeting quality standards and client expectations across all operational areas. Conduct regular inspections of common areas, workspaces, washrooms, pantries, and external areas to verify cleaning standards. Monitor service schedules and ensure timely completion of all planned activities. Address service gaps immediately and implement corrective actions. Coordinate special cleaning requirements for events, conferences, or deep cleaning activities.
Housekeeping Supervision
Supervise housekeeping teams ensuring thorough cleaning of office areas, conference rooms, washrooms, corridors, lobbies, and external areas. Monitor cleaning frequencies, product usage, and adherence to standard operating procedures. Ensure proper use of cleaning equipment, chemicals, and materials with focus on safety and efficiency. Conduct quality checks using inspection checklists and provide feedback to supervisors and staff. Address complaints related to cleanliness promptly and ensure satisfactory resolution. Maintain high standards of hygiene particularly in washrooms, pantries, and high-traffic areas.
Waste Management
Oversee segregated waste collection, storage, and disposal as per environmental regulations. Ensure proper handling of general waste, recyclables, hazardous waste, and e-waste. Coordinate with authorized waste disposal agencies and maintain compliance documentation. Monitor waste bins, ensure timely clearing, and maintain cleanliness around waste collection points. Implement waste reduction initiatives and promote recycling practices.
Landscaping and External Areas
Supervise landscaping activities including lawn maintenance, plant care, watering, pruning, and seasonal plantation. Ensure external areas, pathways, parking lots, and entry points are well-maintained and presentable. Coordinate pest control for outdoor areas and termite prevention treatments. Monitor irrigation systems and outdoor lighting for functionality.
Pest Control Management
Coordinate scheduled pest control treatments for rodents, insects, termites, and other pests. Ensure pest control activities are conducted safely with minimal disruption to operations. Monitor pest control effectiveness and address recurring issues with vendors. Maintain pest control logs and compliance records.
Pantry and Cafeteria Support
Oversee pantry services including beverage preparation, snack supplies, and cleanliness of pantry areas. Coordinate with cafeteria operators ensuring timely service, food quality, and hygiene standards. Monitor dining area cleanliness and ensure proper waste disposal. Manage pantry consumables inventory and coordinate replenishment.
Reception and Front-of-House Services
Supervise reception operations including visitor management, courier handling, and front desk services. Ensure professional appearance and conduct of reception staff. Coordinate meeting room setups, AV equipment arrangements, and hospitality services for meetings and events. Maintain visitor logs and ensure security protocols are followed.
Vendor and Contractor Coordination
Supervise soft services vendors ensuring contractual obligations and service level agreements are met. Conduct daily coordination meetings with vendor supervisors to plan activities and address issues. Monitor vendor staff attendance, uniforms, grooming standards, and professional conduct. Review vendor invoices and certify satisfactory service delivery. Escalate vendor performance issues and drive improvements.
Inventory and Supplies Management
Maintain inventory of soft services consumables including cleaning chemicals, washroom supplies, pantry items, and office supplies. Track consumption patterns and coordinate timely procurement to avoid stock-outs. Ensure proper storage of materials with focus on safety and organization. Implement cost control measures and minimize wastage.
Health, Safety, and Hygiene
Ensure all soft services operations comply with health and safety regulations. Maintain hygiene standards across washrooms, pantries, and food service areas. Ensure proper use of personal protective equipment (PPE) by housekeeping and service staff. Conduct safety briefings and ensure safe handling of cleaning chemicals. Report and document safety incidents related to soft services operations.
Reporting and Documentation
Prepare daily activity reports, inspection checklists, and service delivery updates. Track and report key performance indicators including cleaning completion rates, complaint resolution, and vendor performance. Maintain service logs, attendance records, and inspection documentation. Submit regular reports to Facility Manager or Campus Lead.
