We are specialists in consulting missions in industrial sectors, from carrying out HSE audits, implementing environmental management systems and HSE training, to other projects related to sustainable development for our clients.
ERM France, which currently has 180 employees spread between Paris and Lyon, is experiencing strong growth. We are recruiting for our team a Project Management Assistant.
The Role
Based in our Paris office (while benefiting from a flexible work environment), the responsibilities of the successful candidate will focus on supporting the "Safe and Sustainable Operations" (SSO) team in their ongoing projects and deadlines, providing crucial logistical and administrative support. Acting as a true facilitator, they will support the success of ERM's proposals and projects in line with our vision, values, and strategic imperatives.
Tasks and Responsibilities
Monitoring Activities:
- Track the sales pipeline on a weekly basis, coordinate with the opportunity manager to update status and identify key actions for pipeline management.
- Monitor key performance indicators (KPIs) of projects or programs on a weekly basis, particularly regarding planning, reporting, invoicing; and propose or take appropriate measures.
The Program Assistant will play a crucial role in all phases of a project's lifecycle:
During the "Opportunity - Proposal - Contract" phase:
- Actively support the team in preparing the proposal
During project start-up:
- Ensure contractual documents are saved and organized
- Prepare necessary template documents for reporting needs
- Facilitate meeting organization for the Project Manager (PM)
- Prepare team briefings in collaboration with the PM
During project implementation:
- Support the PM in project planning and ensure daily progress (according to schedule)
- Manage financial management with our Finance team
- Support the PM in maintaining up-to-date invoicing
- Prepare required labor and expense reports for the project/Client
- Provide updated cost tracking
- Follow up on client approvals/payments and maintain payment collection according to schedule
- Support the PM in managing subcontractors
- Act as first contact with the finance department to verify subcontractor invoices comply with submitted Purchase Orders
- Support the PM to ensure the review process is carried out correctly and in a timely manner
- Responsible for Project documentation that must comply with Client requirements as agreed at the start of the Project
- Maintain project documentation in the project directory and prepare the project directory for archiving
- Interface with clients during regular calls alongside the PM
During project closure:
- Support the PM for expense closure and ensure invoices are recorded
- Attend the Project Team Debriefing Meeting
- Ensure all final project deliverables are saved in the project folder and, when possible, archive the folder

- Demonstrates administrative skills: Excel, Word, PowerPoint, and Microsoft Project; Power BI, and knowledge of project management basics
- Languages: Comfortable working in French and English (written and oral). Other languages are a plus
